Hageman handles fulfillment, accounts receivable management, and logistics for leading brands such as Chocomel, Friso, and Lattiz. An operation where accuracy isn’t an option—it’s a requirement. Yet day-to-day work mainly involved juggling tasks, checking things, and hoping nothing was overlooked. With ConnectR and NetSuite, we’ve changed that.

The Challenge

Hageman is more than just fulfillment. The company operates through multiple business units, including fulfillment, wholesale, cards, and repair & maintenance. From these diverse activities, dozens of order streams flow through the organization every day.

But those flows were scattered across different systems. To stay on top of things, the team had to log in to multiple environments. Checking orders in one system, verifying invoices in another, tracking financial flows in yet another. And at every step, the same question: Has everything been processed correctly? Are there errors we’re missing?

No big picture

There was no single place where all order flows converged. The team worked in separate systems and, as a result, lacked the overview needed to act quickly. What’s going on? Where’s the error? It wasn’t possible to see that at a glance.

Together with the Hageman team, we started where we should have: with the process. Not with the technology, not with a feature list, but with the question: what needs to go right every day, and where is it currently getting stuck?

Based on that insight, we set up a ConnectR integration that aligns with Hageman’s actual situation. Not a one-size-fits-all solution, but a setup tailored to their specific order flows, systems, and way of working.

A single automated connection to NetSuite

The core: a fully automated connection between Hageman’s order channels and NetSuite as the ERP system. Through a smart endpoint, orders are processed—including validations that ensure data quality —before information enters NetSuite. No more manual steps, no more duplicate work.

Built-in intelligence

A good example: for every new customer, the VAT number is automatically validated via a VIES check. Is the number correct? Then the process continues. Is it incorrect? Then a notification is sent immediately. This keeps the process fast and watertight. These types of validations are built right into the workflow—not as a separate step added on the side.

Make adjustments yourself, without waiting

Something we consider important at Opticode: the customer must be able to make changes on their own. The Hageman. team can use ConnectR to implement adjustments themselves, such as changing field mappings or processing rules. No tickets, no wait times. If something needs to change, it can be done immediately.

One dashboard for all order flows

All flows now come together in a single overview. The team can immediately see what’s running, what requires attention, and where an exception has occurred. Clear error logs ensure that action is taken quickly and precisely, rather than having to search afterward for what went wrong.

Looking to the Future
NetSuite as the single source of truth.

The foundation is in place. And that’s exactly where things get interesting.

The Hageman team sees plenty of opportunities to expand ConnectR’s use. One of the first planned expansions is integrating payment providers. This will provide immediate insight into payment statuses without having to check different systems.

The bigger goal: a situation where NetSuite is the sole source of truth for all of Hageman’s processes—from fulfillment and invoicing to financial reporting. Everything from a single source.

That’s the approach we believe in. First, lay a solid foundation. Then expand step by step. Not everything at once, but everything in the right order. So that each subsequent step builds on what’s already in place.
